How-to guide

Staff roles and permissions

The audited admin build includes dedicated controllers for Staff, Roles, Departments, Custom Fields and Filters. This guide explains where those control points sit and how they are best used together.

Where to click

Use these menu paths first, then complete the action from the screen you open.

Top header > Setup & Settings > Staff / Roles / Departments / Custom Fields / Filters
Quick answerThese are the fastest verified steps for this task in the current Proplix build.

Exact steps

  1. Open Top header > Setup & Settings > Staff when you need to add or manage staff users.
  2. Use Roles and Departments when you need to control access and organisational structure.
  3. Use Custom Fields and Filters when you need extra field logic or filtered admin behaviour.
  4. Save permission changes carefully and then test access with the affected user role.
  5. Use role-based control instead of editing staff access inconsistently record by record.

What this feature does

  • Roles have a dedicated admin controller and delete action.
  • Departments include folder and test-connection support where relevant.
  • Custom Fields and Filters are standalone admin configuration areas.
  • The Real Estate module adds extra staff-specific admin actions such as approval-manager and approval-requirement toggles.
  • Permissions sit at the heart of what each staff user sees in the menu.

What to do next

  • After changing roles or permissions, log in as the affected role or test with that user to confirm menu visibility and workflow access.
  • If the change affects Real Estate or Compliance workflows, review those modules immediately after changing the staff setup.
