Where to start
Supplier Portal → completed job → supplier invoice → replacement upload
Before you begin
Start with the existing property or case so the team keeps one connected history. Sign in to the Supplier Portal with the active supplier contact for the invoice and its assigned job.
Follow these steps
- Find the completed job and check why its invoice needs a correction.
- Use the replacement upload for that invoice, rather than creating another job.
- Select the corrected file and submit it.
- Check that it is back in Pending review and tell the reviewing team which reference to use.
Check the result
A colleague can find the outcome on the same property or case and see what needs to happen next.
If something does not look right
Give the team the property or case reference and the message shown. Check the saved outcome before attempting the action again.
Fields, rules and limits
- Only the owning supplier can replace a Pending or Rejected invoice, and the linked request must be Completed or Resolved. A file is required. Successful replacement returns the invoice to Pending and clears prior payment fields; paid invoices cannot use this path.
Questions and answers
Can I recover the old file from this replacement control?
The old file is removed after the replacement saves. Check that you have selected the correct revised invoice before submitting it; the job and invoice reference stay linked.
Should I start again if I do not see a confirmation?
Check the existing record first. It may already have saved, with only a later delivery or file-generation step still pending.
